Situation #
A broker offers you a load and you agree the rate. You want it booked, hauled, proved delivered, billed and the driver paid, with every step on file.
What keeps working #
- The rest of Pop Dispatch (towing, shop, taxi) runs as before.
- If the phone loses signal, the driver's report waits on the phone and goes through when the signal returns. The office can also record arrival and departure for the driver.
Steps #
- Set up once. Type your MC and DOT numbers under Trucking, Carrier details. Add the broker under Customers with its trucking profile (broker, MC number, payment terms). Give the driver a pay profile. See trucking-overview-and-setup.
- Book the load. Trucking, New load. Pick the broker, add the pickup and the delivery with their appointment windows, the commodity, weight and equipment, the broker's reference number, and the rate. See load-board-and-booking.
- Print the rate confirmation and send it to the broker for their signature.
- Assign and dispatch. Choose the driver, truck and trailer, then Dispatch. If Pop Dispatch names an expired document, renew it or choose another driver or truck.
- Print the bill of lading for the driver to carry.
- The driver reports. On the phone: Arrived and Leaving at the pickup. The load shows In transit. At the delivery: Arrived, then Proof of delivery with the receiver's name, signature and photos, then Leaving. The load shows Delivered. See driver-phone-and-proof-of-delivery.
- Add charges. If the driver waited, choose Work out detention. Add layover or a lumper receipt with Add charge. See charges-and-billing-a-load.
- Invoice the broker. Choose Invoice. The load shows Invoiced and the invoice is in Billing with the broker's payment terms.
- Settle the driver. Trucking, Driver pay: pick the driver and the period, Preview, add any deductions, Issue settlement, print the statement. See driver-settlements.
- Record the broker's payment in Billing. The load shows Paid. When you pay the driver, choose Mark paid on the settlement.
How to confirm it worked #
- The board shows the load in the Invoiced column, then drops it when it is Paid.
- The load's proof of delivery lists the signer and the photos.
- The settlement's net equals earnings plus reimbursements less deductions.
Afterwards #
- At the end of the quarter, run the fuel tax report. See ifta-fuel-tax.
- Keep each driver's duty status up to date. See hours-of-service-log.
