A voucher is a code that pays for a trip: once, on one trip, and never after its last day. An account code is a code a billing account hands out so its riders can book on the account. You will be able to make voucher batches, download the codes, cancel a code and manage account codes.

Before you start #

  • Vouchers and codes are for the roles that handle money: owner, manager and advisor. The sub-menu item "Vouchers and codes" is hidden from other roles.
  • Taxi is part of the Pro and Business editions.
  • Account codes belong to a billing account (see billing-accounts-and-statements).

Make a batch of vouchers #

  1. Open Taxi, then "Vouchers and codes", then Voucher batches.
  2. Choose "Make a batch". Type a Name. Batch names are unique.
  3. Set "How many codes", from 1 to 500.
  4. Set the Face value in dollars. Leave it empty for a voucher that covers any fare.
  5. Set "Expires on" for the last day the codes work, and choose a Billing account when the batch is for one.
  6. Choose "Make the batch". The batch appears in the list with its counts: Ready, Used and Canceled.
  7. Choose Codes beside a batch to read each code and its status (Ready to use, Used or Canceled). Choose "Download the codes as CSV" for a file with the columns Code, Status, Face value and Expires.

Codes are ten characters in two groups, such as 7KQ2M-X4TRB. They leave out 0, O, 1, I and L, so a code read over the phone or from paper stays clear. The driver can type it in capitals or small letters, with or without the dash.

Cancel a code #

  1. Open the batch with Codes.
  2. Choose "Cancel code" beside the code, type the reason and choose "Cancel it".
  3. A code that is already used cannot be canceled.

Add account codes #

  1. Under "Account authorization codes", choose the account under "Choose an account".
  2. Type the Code, from 3 to 40 characters, and an optional Label. Choose Add.
  3. Use Switch off or Switch on to stop or restart a code. The column "Times used" counts the bookings that used it.
  4. Once an account has at least one active code, every trip on that account has to carry one of them. Riders choose "I have an account code" on the booking page and type it there (see public-booking-page), and dispatchers type it in "Authorization code" on a new trip.

How a voucher is used #

At the end of the trip the driver chooses Voucher and types the code (see taxi-tips-and-payment). The voucher pays the fare, up to its face value, and the code becomes Used. In the driver app a voucher has to cover the whole fare. A voucher with a smaller face value is refused with the message "The voucher does not cover the fare. Take the rest in cash or by card." The tip stays outside the voucher.

Technical details
  • Routes: /taxi/voucher-batches (list, add), /taxi/voucher-batches/:id/vouchers (list, or CSV with format=csv), POST /taxi/vouchers/:id/void, /taxi/accounts/:id/auth-codes and PATCH /taxi/auth-codes/:id.
  • A code is ten characters from the letters and digits listed above. Making a batch, exporting its codes, canceling a code and changing an account code each write an audit log entry.
  • A voucher check refuses a code that was used ("That voucher has been used."), canceled ("That voucher has been canceled.") or past its last day ("That voucher has expired.").
  • Account codes match without regard to capitals.

If something goes wrong #

  • "That voucher code was not found.": check the characters, or look the code up in the batch.
  • "That voucher has been used.", "That voucher has been canceled." or "That voucher has expired.": ask the rider to pay another way.
  • "A batch with that name exists.": choose another name.
  • "Give a reason.": type a reason before canceling a code.
  • "That code exists on this account.": the code is already in the list.
  • "That account code was not found. Check it, or leave it blank and pay the driver.": the rider's code has a typing error or is switched off.
